Pharmacy Portal and Login

Pharmacies register with their official pharmacy license number and are verified by the system administrator. Prescription-related actions are restricted to authorized roles, and every scan and sale is recorded against the logged-in user.

  • Individual, role-based accounts for pharmacist, cashier and manager
  • Scan prescription QR codes and view the validated prescription
  • Process sales and issue digital receipts
  • Manage medicines, inventory, batches and expiry dates
  • View and accept online and delivery orders
  • Generate sales, stock and prescription-fill reports

Customer Application

One place to find medicines, hold prescriptions and order, including delivery for those who cannot travel.

  • View and search medicines by medicine code or actual name
  • Order eligible non-prescription medicines
  • Scan or upload prescription QR codes and view prescription information
  • Order prescribed medicines and receive order and purchase confirmations
  • Request medicine delivery to a specified location
  • View previous orders, purchases and prescriptions

Doctor Application / Portal

Doctors register using their official doctor registration number. After verification they can:

  • Search medicines, select them by medicine code and view the actual medicine name
  • Create digital prescriptions with dosage and required quantity
  • Set the validity/expiration period of a prescription
  • Generate a unique QR code and send it to the patient through the application, or print it
  • Receive notifications when the prescribed medicine is purchased
  • View a history of issued prescriptions and their status

Digitalizing the current prescription management system

Prescription handling in Sri Lanka still relies heavily on paper documents, and pharmacy counters often run on point-of-sale systems that handle billing and stock but know nothing about the prescription behind a sale.

The problem

  • Prescription and medicine purchasing processes are paper-based, difficult to verify, and disconnected from pharmacy sales and stock systems
  • Paper prescriptions can be lost, altered, reused or shared
  • Patients may have to travel considerable distances to find an open pharmacy
  • Doctors usually do not know whether, when or where a prescription was filled

The proposed solution

A digital medicine ordering and prescription management platform combining:

  • Customer application
  • Doctor application/portal
  • Digital prescription management
  • Expirable QR-code prescription system
  • Pharmacy portal
  • Medicine purchase notifications
  • Medicine delivery service
  • Licensed pharmacy partnerships

Project objectives

  • Replace paper prescriptions with secure digital prescriptions issued by verified, registered doctors
  • Provide expirable, single-purpose QR codes that pharmacies can validate instantly
  • Track the full lifecycle of every prescription with an audit trail
  • Improve the pharmacy system with QR scanning, validation, batch/expiry-aware stock control, digital receipts and reporting
  • Notify doctors when their prescriptions are used
  • Let patients order medicines and receive them by delivery

Customer Application

The customer side of the system allows users to:

  • Register and create an account
  • View and search available medicines
  • Identify medicines using medicine codes and actual medicine names
  • Order eligible non-prescription medicines
  • Scan or upload prescription QR codes
  • View prescription information
  • Order prescribed medicines
  • Receive order and purchase confirmations
  • Request medicine delivery to a specified location
  • View previous orders, purchases and prescriptions

Introducing Digital Prescription Management System

The central module that creates, stores and tracks all digital prescriptions. Each prescription moves through a defined lifecycle, and every change is recorded.

Expirable QR code

After creating a prescription, the doctor generates a unique QR code. The doctor determines the validity period; after expiration the QR code becomes invalid.

Minimal QR data

The QR code carries a unique prescription ID and a digitally signed token, not the medical details. Details are retrieved from the backend only after validation.

QR SystemPrescription QR code and lifecycle

Validation rules

Not expired or cancelled; issuing doctor verified and active; not already fully dispensed; prescribed medicines and quantities match the items being sold.

Partial dispensing and audit

Where the doctor allows it, partial dispensing is recorded and the remainder stays available until expiry. Every scan and validation attempt is logged with time and location/pharmacy.

Prescription lifecycle

IssuedDoctor has created the prescription and generated the QR code.
Sent / DeliveredQR code has been sent to the patient’s application or printed.
ValidatedQR code has been scanned and passed all validation checks.
Partially DispensedSome of the prescribed quantity has been sold; the remainder is still valid.
Fully DispensedAll prescribed quantity has been sold; the QR code can no longer be used.
ExpiredValidity period ended before the prescription was fully used.
CancelledDoctor withdrew the prescription.

Who uses it

  • Doctors can issue, view, track and cancel prescriptions
  • Patients can view their active and past prescriptions in one place
  • Pharmacies see the verified prescription directly in the POS, with no paper handling
  • Administrators can audit prescription activity and generate reports

Misuse prevention

The mechanism is intended to reduce repeated use of old prescriptions, unauthorized sharing, repeated purchasing using the same prescription, altered prescriptions and potential misuse of prescription medicines.

Medicine Delivery System

For customers who cannot travel to a pharmacy, PharmaSync provides a simple delivery workflow. In the prototype it is kept intentionally lightweight, covering request, rider assignment, verification and status updates.

Customer request

The customer submits an order or prescription QR through the app.

Pharmacy accepts

The participating pharmacy accepts it in the POS, and a rider receives the delivery request.

Delivery SystemRider workspace showing the next delivery

Verified at handover

The rider verifies the prescription/QR at handover, collects the medicine from the pharmacy and delivers it to the specified location.

Who benefits

Elderly people, people with mobility difficulties and customers far from an open pharmacy.

Security and quality

Security considerations

  • Secure authentication and role-based access control, including individual pharmacy staff accounts
  • Doctor verification against registration numbers and pharmacy verification against license numbers
  • Unique prescription IDs and digitally signed, expirable QR codes
  • Server-side prescription validation and redemption tracking
  • Secure storage of user and prescription information
  • Transaction records and audit logs of every scan and sale
  • Protection against repeated use of expired or fully dispensed prescriptions
  • Secure communication between applications, POS and backend

Non-functional requirements

  • Security: authentication, authorization, protected prescription information and secure communication
  • Reliability: sales and prescription status recorded consistently, so a prescription cannot be used twice
  • Usability: simple for patients, doctors, counter staff and riders; the POS should be fast during busy periods
  • Performance: QR validation within about a second
  • Scalability: support additional pharmacies, doctors and users
  • Maintainability: modular components that can be maintained and extended

The system is designed with applicable pharmaceutical, privacy, data protection and healthcare requirements in mind. Actual deployment would require the appropriate regulatory approvals and licensed partners.
